GENERAL INFORMATION

WHAT ARE THEY? AND WHO SHOULD COME?:
AEP's twice-yearly National Forums foster crucial dialogue about research, policy and practice in the arts and education.

The audience at AEP National Forums consists of leaders from the arts, business, cultural, education, government, and philanthropic sectors. They are administrators, advanced practitioners, consultants, directors and researchers engaged in and committed to arts learning and education reform. AEP Forums convene these leaders every fall and spring to discuss timely issues in arts and education and move the field forward with key recommendations and/or policy directions based on emerging research and best practices.

 
ATTENDANCE LIMITS:
Most AEP Forums have an attendance limit of 200-250 participants. Please submit your registration as soon as possible in order to ensure a place. Registration is on a first-come, first-served basis; after registration is full, additional registrants will be placed automatically on a waiting list. Those on the waiting list will be notified by AEP as soon as possible if a space opens.

 

HOTEL:
AEP customarily reserves a block of rooms at a discounted rate for Forum attendees in the hotel in which the Forum is located. It is best to make your reservation well in advance of the deadline to ensure availability of space and the special room rate If you discover that you are unable to attend a Forum, please let both AEP and the hotel know at your earliest convenience so that we can release any available rooms to other Forum attendees.

FEES/PAYMENTS

The regular price of AEP Forums is $250.00 for the entire forum. The late registration fee of AEP Forums is $280.00 for the entire forum.

 

Online payment is available through the online registration portal on the AEP website.  Should you wish to make payment by other means, please contact AEP at aep@ccsso.org and special arrangements can be made on a case-by-case basis.

 

AEP does not offer single day registration for the Forums.

Unfortunately, we cannot refund registration fees for cancellations of attendance after the announced regular registration deadline.

CONFIRMATION NOTICES

Forum attendees who have registered online should receive a confirmation email within 24 hours of registration.  If you do not receive confirmation, please contact the AEP Program Associate, Cristine Davis, as soon as possible at cristined@ccsso.org or by phone at (202) 326-8683.  More detailed program information about the Forum will be sent out approximately one week before the event.

SHARING MATERIALS

A table will be provided at the Forum for sharing materials by participants.  If you wish to share materials at the Forum, it is your responsibility to transport them to the Forum site.  Please bring them with you or have them shipped to yourself at the hotel.  AEP recommends not bringing large quantities of materials, as there is limited space for display.  Please plan also to take any remaining materials away with you after the Forum; any materials left behind will be recycled.

If you plan to share materials, please notify Cristine Davis at cristined@ccsso.org two weeks prior to the Forum so that we can be sure to provide adequate table space.

FORUM CONTENT

PLANNING: AEP designs the content and program for each Forum in close collaboration with the Governing Council, Advisory Committee, and a Host Planning Committee made up of AEP staff and local partners.  All decisions are made with close review and consultation of feedback from previous Forums and the AEP Strategic Plan.
   
THEMES: A theme is chosen for each Forum that reflects an issue or policy area that is both topical and of interest and importance to AEP’s diverse community of partners.  The theme serves as a guideline for developing the large plenary sessions and speakers as well as small group breakouts, with the goal of encouraging diverse conversations with a unified goal.
   
PLENARY SESSIONS: Panels of experts and keynote speakers address the full body of attendees during the plenary sessions. Forums typically have three plenaries: the opening plenary that emphasizes the meeting's theme, a second that highlights important national work or topics, and a closing plenary that caps the meeting and motivates attendees to continue their work at their home organizations.
   
SMALL GROUP DISCUSSION SESSIONS: These sessions have become a highlight of our Forums and are a valuable opportunity for those in the field to share their work. Sessions facilitate deeper, more specific, and engaged conversation about pertinent issues. AEP uses a Request for Proposal (RFP) process for these sessions, and a panel of AEP Staff and steering committee members selects the proposals.
   
FEEDBACK: Shortly after the Forum, you will be contacted to fill out an online evaluation for the meeting.  These evaluations are an essential resource for AEP staff and Forum planning committees, both for planning purposes and as a part of the ongoing conversation of our community.  AEP encourages all participants to take time to fill out an evaluation; your opinions and observations matter.
